Key responsibilities will include the following:
* Provide direct administrative support to senior department staff on pre-construction and permitting, Interdepartmental projects, and other administrative areas.
* Act as primary point of contact and communication channel for department via phone and email.
* Assist in creating administrative policies and procedures for the department.
* Administer subcontractor procurement process and manage documentation and filing of all relevant paperwork.
* Track proposals, milestones, invoices, and payments from subcontractors.
* Update and manage contact lists of all potential and active subcontractors.
* Track subcontractor documents and manage renewal.
* Track staff training and license requirements and ensure that they are renewed timely.
* Prepare invoices and statements for approval.
* Manage agenda and minutes for department staff meetings and other large meetings, including occasional external evening meetings (most are virtual).
* Coordinate and track onboarding for new department staff.
* Format and organize data, letters, and other documents for submittal to external parties.
* Maintain strict confidentiality regarding privileged and personal information.

Requirements:
* Our ideal candidate will have the following qualifications:
* Minimum three years’ experience in administration, preferably in construction or a nonprofit
* High school diploma or equivalent
* Commitment to Habitat for Humanity Greater Boston’s mission, vision, and core values.
* Exceptional organizational skills and ability to prioritize workload
* Excellent communication and interpersonal skills, ability to work with various stakeholders
* Proficiency in Microsoft Office 365, demonstrated ability to utilize Microsoft Excel to organize and present data, successful experience learning and using new software applications
