The Supply and Logistics section in preparation for the action plan to respond to the key issues raised during the Peer review and Audit 2022 alongside the high volume of ongoing procurement and Logistics in correlation with the upcoming end-year activities, the section will soon be lacking with the absence of its one staff as a consequence of retirement. The section is therefore in need of an intern to support with the following activities: Prepare and maintain records, documents, and control plans for the budget monitoring of project/program implementation Support the Section in compiling partner reports and data:
1. Physical and electronic filing of all corporate contracts and other related procurement activities and processes with their supporting documents.
2. Physical and Electronic filing of all Regular procurement files for goods and their supporting documents.
3. Physical and Electronic filing of all Regular logistics dispatched files and their supporting documents.
4. Proper arrangements of all supply and logistics files and put them in the archives on the 7th floor.
5. Support procurement and logistics processes (Bid opening, Bid opening reports, handover of technical bid to the technical team for analysis liaison with vendors)
6. Assist in the drafting of exemption letters and distribution of invoices to program sections.
7. Perform any other activities requested by the section to allow the Supply and Logistics colleagues to focus on more core activities.
- A minimum of 1 year of relevant experience in supply chain management /logistics is required.
- Fluency in English or French is required.
Skills:
- Thorough knowledge of a range of specialized topics, including relevant supply chain processes, rules and regulations related to public sector procurement.
- Ability to interpret and apply specialized rules and regulations to the particular circumstances of individual cases.
- Experience using MS Word, Excel, PowerPoint and ability to learn other UNICEF office tools.
- Demonstrated understanding of relevant supply chain processes and ability to consistently apply relevant policies, procedures and good practices in the daily work.
- Ability to develop and maintain effective working relationships with stakeholders and gain the assistance and cooperation of others in a team endeavor.
- Ability to establish priorities and plan his/her own work and plan, coordinate and monitor the work of those under his/her supervision.
- Ability to draft clear and concise reports or rationale for supply related decisions when needed.
