JOB TYPE

The Logistics Coordinator’s role is to ensure technical and logistical support for missions, the relevance and consistency of logistics programs, and their adequacy with resources. Although generally based in the capital, the Logistics Coordinator is primarily a field player. Thus, he or she will spend at least 50% of his or her time there, actively participating in the launch and development of our programs, training and supervising field logisticians, ensuring the implementation of policies and the use of the most appropriate techniques and equipment.

PROTECTION OF BENEFICIARIES AND COMMUNITY MEMBERS

Level 3: As part of their duties, the position holder will be required to visit programs and be in contact with children and/or vulnerable adults. Therefore, a criminal record check or the presentation of a certificate of good character will be required. In situations where it is impossible to provide a criminal record or a certificate of good character, a sworn statement will be requested.

FUNCTIONAL AND HIERARCHICAL LINKS

He/She reports to the head of mission and to the general coordinator (line managers) based in coordination.

He/she reports to the logistics representative (technical representative) at headquarters.

 He/She supervises/manages the mission’s logistics team 

 He/She collaborates with the coordination (medical, logistical and financial and resources

Human) and with partners.

MISSION AND MAIN ACTIVITIES

Activity monitoring and goal setting

  • Describes and analyzes its activity in its environment:
  • Compiles logistics data and analyses,
  • Contributes to the implementation of tools enabling the desk and teams to participate in monitoring the mission and in decision-making (sitreps, activity reports, visit reports, etc.)
    • Participate in discussions on project management and definition of objectives:
  • Participates in detection (visits and information searches) and rapid response to emergencies,
  • Participates in monitoring operations on projects,
  • Travels to ensure supervision and monitoring of logistics activities in the field.

Implementation of programs

  • Organize and supervise the logistical operation of the coordination base (capital): (Organizational chart, job profiles, supervision, training, control procedures, etc.).
  • Organize and control the supply of projects (international and local orders, storage, reception, delivery, transport, etc.).
  • Plans and monitors the logistics programs of various projects in line with medical needs (inventory, priorities, budget, technical choices, advanced supervision of projects, etc.).
  • Organize and supervise the operation of mission logistics (briefing, visits, personnel, field log support, etc.).
  • Guarantees the adequacy of equipment, its maintenance and renewal (equipment and needs, procedures, fleet management, anticipation, planning, renewal, etc.).
  • Supervises the application of hygiene measures in health structures with the medical coordinator (Water, hygiene, sanitation, vector control, etc.).
  • Ensures the adequacy of the teams’ living conditions (Buildings, comfort standards, recovery, etc.).
  • Supervises security management in conjunction with the Head of Mission (risk analysis, monitoring of movements, drafting of security guides, etc.).
  • Limits the risks taken by the teams, by ensuring the presence, reliability and proper use of the means and methods used for security (information, equipment, briefing, training, etc.).
  • Ensures the financial and logistical management of the program:
    • Develops the logistics budget and ensures budget revisions based on work in progress and plans future activities;
    • Monitors expenses by analytical axis and analyzes them, in collaboration with administrative managers.

Logistics human resources management

  • Team composition
    • Defines the positions required in relation to its activity and establishes the job profiles;
    • Organizes the recruitment of staff in its activity (with the support of CORH);
    • Organize with supervisors the replacement of absent staff.
  • Team management
    • Organizes and supervises the work of his team members,
    • Supervises and organizes regular team meetings;
    • Manages the flow of information within his team;
    • Identify potential within the staff of its activity.
  • Individual assessments
    • Produces individual reports for the activity managers for which he is responsible and delegates the production of reports for other staff.
