Introduction

– Background:
Refugee registration in Uganda is carried out by the government through the Department of Refugees (DOR) in the Office of the Prime Minister (OPM) with operational and technical support from the United Nations High Commissioner for Refugees (UNHCR).

As of June 30, 2024, the registered population of refugees and asylum-seekers in Uganda was 1,702,278 individuals settled across 13 rural settlements and in Kampala, the capital. 91% of this population reside in the settlements.

Together, OPM and UNHCR seek to enhance oversight efficiency in operational data collection and management, including ensuring that the quality of data availabe on refugees and asylum-seekers is fit for purpose, including for planning and implementing the delivery of protection services and solutions.

– Purpose:
As part of its operational and technical support to OPM in the delivery of registration solutions, UNHCR maintains stockpile of essential assets, including equipment’s, stationeries and supplies required for effective delivery of registration solutions. The materials are maintained centrally in Kampala at the AIRD warehouses in Ntinda. A smaller stockpile of essential materials is maintained at Branch Office Kampala for instant response to the multiple requests from the various UNHCR Offices. A large stockpile of equipment and materials used in the recent refugee verification exercise have been gathered from the field offices and stored in Kampala. The equipment and materials require categorization, cleaning and packaging in organized manner for easy retrieval and oversight.

UNHCR seeks an Intern desirous of gaining work experience to support the Registration, Identity and Data Management unit in carrying out the comprehensive inventory of its registration equipment and materials.

Objectives
– Establish and maintain accurate inventory records
– Ensure proper and timely storage of registration equipment and materials
– Facilitate smooth and efficient dispatch of equipment and materials to UNHCR Sub-offices

Scope of Work
– Inventory Management: Track and develop accurate record of all equipment and materials in the registration stockpile, categorizing each for ease of reference.
– Storage: Ensure that all items are stored in safe, organized and accessible manner.
– Distribution: Manage the distribution of materials to various UNHCR Offices for onward delivery to OPM teams in the field.

Key Responsibilities
– Carry out physical count of registration equipment and materials
– Establish and maintain an inventory of all materials and equipment
– Verify the functional condition of equipment and materials
– Verify quantity, label and store equipment and materials procured or returned from the field locations
– Report on the condition of equipment and materials
– Ensure proper labeling and organization of stored items
– Implement and maintain proper storage conditions to prevent damage or deterioration.
– Respond to requests for registration materials from the UNHCR offices in the field

Required Skills and minimum Qualifications

– Education:
o A recent graduate in a graduate/undergraduate school programme from a university or higher education facility accredited by UNESCO.
o Training in asset/logistics management or a related field is an advantage.

– Skills:
o Attention to details
o good communication and interpersonal skills
o Organizational and time management
o Basic knowledge of MicroSoft Office package

Work experience
– Not mandatory

Reporting
– The incumbent will be supervised by the Registration Associate based in the Registration, Identity and Data Management Unit in Kampala.

Performance Indicators
– Timelines of tracking, categoring and reporting inventory of equipment and materials in the Registration stockpile.
– Accuracy of inventory records
– Efficiency in processing and fulfilling requests for delivery of materials and equipment to field locations

Confidentiality and ethics
– Ensures registration information and records are kept confidential
– Adheres to code of conduct and ethical standards governing the behavior of personnel working for or associated with the United Nations.
