Project management essential skills for youths

Project management is defined in many ways depending with the view but the most trending definition is the process of leading the work of a team to achieve all project goals within the given constraints. Every project has a starting point and a deadline. However, there are stages in project management which youths must know when setting goals and a project workplan Identification stage is the first stage where the problem or needs of a project are identified, hence the ideas to ease or permanently resolve the problem conceived.

Identification stage involves a series of steps that also guides the project from beginning to completion of project. Questions like what will the project achieve or not achieve, sets boundaries for project and helps to ensure everyone is involved has a clear understanding of what the project will deliver. A project must assess capacity first before executing the process, this is very important and whoever wants to work on a project must consider this element of assessment. If a project is to meet its goals, it has to be transparent.

After the identification stage of the project, the planning stage will then follow. Planning is very important and it involves a lot of things to be considered. During this planning stage the project plan outline the scope, timeline, resources and deliverables of the project. Planning should be detailed with project goals clearly stating the budget and resources required to complete the project.  Schedules should be made and risk management plan done.

 Many youths have failed to execute their projects well because they ignore the planning stage. One may have tremendous money but it doesn’t make any sense when there is no any form of planning. A project can consume more than it should consume because of lack of planning. Project risks are encountered as planning and designing continues. Risks are potential events that could affect the success of the project.

Identifying risks early in the project is important as this may help to find out solution in time before bad things happens resulting in huge loss. After planning and designing stage, the implementation stage will then follow. As per arrangement, when planning and designing, the implementation stage marks the flow of action as everything on paper begins to manifest and taking shape.

During this implementation step, the project works to deliver the project deliverables within the project timeline and budget. While implementing the project work outs, the transparent element is always considered. Youths should learn to be trustworthy and have transparency in everything. It is during execution of the project that monitoring, quality control and proper management is done.

Monitoring involves tracking the project progress against the project plan. This helps to identify any deviations from the plan and allows curative actions to be taken. The responsible authorities in the different departments assess work done over a period to match timeline for the completion of the project.

To make sure the budget completes, the requirements of the project monitoring resources should be done strictly to avoid overspending the available materials. Resources should be ready and available when needed and manpower should understand how crucial deadlines are. Quality control should be considered. It ensures project deliverables meet required standards and this is achieved through regular quality checks and inspections. Using cheap, substandard resources compromises the quality of the standards expected on the project. After all this is done, the evaluation stage will then be the last stage. Project evaluation involves assessing the project success against the project objectives and goals.
