All God’s Children International is actively seeking a dedicated individual to serve as our Executive Administrative Assistant to the President. This position is based in the Vancouver, Washington area, providing occasional in-office and in-person support as needed.

All God’s Children the Executive Administrative Assistant to the President provides high-level administrative support in a one-on-one working relationship with the President of AGCI. This role serves as a key liaison between the President and internal/external stakeholders, including the Executive Team, Board of Directors, donors, families, and staff. This role will manage schedules, provide clerical support, arrange travel and correspondence, schedule meetings, and coordinate support at events.

CALENDAR & TRAVEL MANAGEMENT

  • Manage and maintain the President’s schedule, including appointments, meetings, and conferences.
  • Coordinate domestic and international travel arrangements, including transportation, lodging, and conference registration.
  • Create and maintain detailed travel itineraries.

COMMUNICATION & DOCUMENTATION

  • Prepare executive-level responses to routine memos, letters, and correspondence.
  • Compose, draft, and proofread a variety of documents, many of which are sensitive and confidential.
  • Scan, copy, and send group notifications using platforms such as Microsoft Outlook and Teams.

MEETING & EVENT COORDINATION

  • Attend Executive Team and other leadership meetings; record minutes and track follow-up tasks.
  • Organize monthly staff meetings and assist in planning staff retreats.
  • Coordinate logistics for Board of Directors meetings, including scheduling, agenda preparation, distribution of materials, and maintaining meeting minutes.
  • Assist in preparing presentations, reports, and materials for meetings and events.

PROJECT & OFFICE SUPPORT

  • Provide in-person and in-office support when needed.
  • Support the President with general clerical and administrative tasks.
  • Manage special projects by establishing objectives, setting priorities, coordinating with others, and adjusting plans as needed.
  • Provide support for organizational programs and strategic initiatives.
  • Perform other duties and special projects as assigned.

This job has no supervisory responsibilities.

Requirements

EDUCATION and/or EXPERIENCE

  • Bachelor’s degree with a minimum of four years of experience providing administrative support to a senior-level executive. An equivalent combination of education and experience may be considered
  • Demonstrated experience in scheduling and calendaring, preferably using Microsoft Outlook
  • Proven ability to compose, edit, proofread, and format written materials
  • Ability to type 55 WPM
  • Intermediate level skills with Microsoft Office Suite (Word, Excel, Access, Outlook, and PowerPoint)

REQUIREMENTS

  • Must reside in the Vancouver, Washington area to provide occasional in-office and in-person support. 
  • Strong organizational and time-management skills with the ability to prioritize and multitask effectively.
  • Excellent written and verbal communication skills, with attention to detail and professionalism.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Calm and courteous demeanor under pressure.
  • Collaborative team player with a spirit of cooperation and openness to all levels of work.
  • Ability to anticipate needs, take initiative, and work independently.
  • Respectfully takes direction from the President and Executive Team.
  • Maintains punctual, regular, and predictable attendance.
