• Liaises with local companies and vendors for goods and services; assists in administrative arrangements for conferences, events, and meetings, including translations. The communication will have to be limited to simple follow-ups on behalf of the NOWPAP team and informal interpretation and translation in view of the language barrier.

• Supports contacts and coordination with the hosting institute of Busan office of the NOWPAP Regional Coordinating Unit (RCU), assists other NOWPAP team members in maintaining the liaison with the host and other organizations both in Korea and other countries as required by preparing standard communication products, arranging meetings, and follow-up.

• Performs a wide range of office support and administrative functions for professional, HR, and financial staff. Assists in other related duties as required, e.g. travel arrangements; procures and provides maintenance for RCU office equipment; regularly updates the inventory of assets (both procured by NOWPAP and provided by the host government and institutions) and other non- expendable property; and coordinates inventories with relevant offices in UNEP headquarters.

• Acts as the Petty Cash custodian for RCU Busan office and manages petty cash effectively.

• Responds or drafts responses to routine correspondence and other communications; drafts relevant correspondence and communication related to programme/project administration and other issues related to NOWPAP operation and project implementation, assists in communication with NOWPAP Regional Activity Centres as a contact point for periodical reports following the set conditions by their respective legal instruments with UNEP; and uses standard word processing packages (Microsoft Word, Outlook, etc.) to produce a required variety of large, complex documents and reports.

• Monitors processes and schedules related the NOWPAP’s outputs, products, tasks; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures to ensure compliance with relevant legal, financial and other requirements.

• Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences.

• Generates a variety of standard statistical and other reports, work orders, using various databases; assists, where relevant and in accordance with assigned by UNEP roles, in managing NOWPAP information in the UN systems up-to-date, e.g. UMOJA (a global corporate solution that is enabling efficient and transparent management of the United Nation Secretariat’s financial, human and physical resources), Partners Portal, IPMR (a solution within UMOJA – Integrated Planning, Management and Reporting tool).

Education

High school diploma or equivalent is required.

  • A minimum of three (3) years of experience in an administrative support role, general office support or a related area is required. The minimum years of relevant experience is reduced to one (1) years for candidates who possess a first-level university degree or higher. Experience in working in public relations, communications, or similar activities is desirable. Experience in working with governmental agencies and private sector vendors is desirable. Experience in working in multinational and multicultural teams is desirable. One (1) year or more of experience in data analytics or a related area is desirable.

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English and Korean language is required. Knowledge of another official United Nations language is desirable. NOTE: “fluency equals a rating of “fluent” in all four areas (read, write, speak, understand) and ” Knowledge of” equals a rating of ” confident” in two of the four areas.
